Advisor Services Associate (Transfers)

Our IIROC Operations team is currently growing! We’re seeking an Advisor Services Associate – someone who can provide exceptional client service and support to existing advisors and sales assistants to ensure a high level of accuracy and timely transactional processing.



At Investment Planning Counsel we’ve designed every aspect of the Advisor Service Associate role with you in mind.

 What is the role of the Advisor Service Associate?

  • Work with the Advisor offices providing support to complete client accounts ATON and Non ATON transfer requests

  • Coordinate and follow up with partner firms, mutual fund companies, transfer agents to mitigate any deficiencies and delays and provide updates in client accounts

  • Processing and execution via utilization through our document management system (ISM, Compass, iMOST, Synergize)

  • Monitor requests processing through FundSERV, NetRep

  • Manage and maintain our service agreement levels by responding timely on inquiries

  • Collaborate with internal and external teams to enhance the clients’ experience

  • Generate reports for review and add value to existing processes

  • Participate in department projects and initiatives

  • Perform other duties to be assigned as per business requirements

What traits and competencies should an Advisor Service Associate possess?

  • Relationship-building skills with a commitment to establishing long-term relationships

  • Ability to leverage technology to enhance the client’s experiences

  • Ability to maintain an effective follow up system to ensure regular and timely tracking of outstanding items

  • Ability to think critically and use sound judgment when serving clients

  • Ability to maintain professionalism while working collaboratively with internal and external teams and partner firms

  • Ability to handle high volumes; time management is essential

  • Ability to listen actively, understand and efficiently facilitate requests

What are the preferred qualifications for an Advisor Service Associate?

  • Proven ability to put the client first

  • At least 2 years of experience processing external account transfers

  • Knowledge of relevant IIROC transfer processes

  • Strong verbal and written communication skills

  • Intermediate knowledge of Microsoft Office suite mainly Excel, Word and Outlook

  • Post-secondary education or industry equivalency

  • Completion of CSC/IFIC is an asset

  • Goal oriented at an individual and team level
